Benefits Operations and Retirement Specialist (FT), Lay Benefits Department
The Benefits Operations and Specialist plays a key role in supporting the administration of employee benefit programs, with a main focus on the 401(k) Plan. This position collaborates closely with the Senior Benefits & Retirement Plan Manager, the Plan Administrator, and the Director of Benefits to ensure accurate, timely, and compliant execution of all benefit-related processes. The role requires exceptional attention to detail, strong communication skills, and the ability to manage data- heavy tasks in a fast-paced environment.
The Benefits Department is responsible for administering various benefit programs offered to 3,500+ current benefit-eligible employees of the 400+ locations that participate in the Archdiocese of Boston Benefit Plans. Benefit plans include Health, Dental, Life and Long-Term Disability insurance, Transition Assistance (unemployment), 401(k), and a custom paid family and medical leave program. The position is on-site at the Pastoral Center in Braintree with the option to eventually work remotely one day per week.
ESSENTIAL DUTIES AND RESPONSIBILITIES 401(k) Plan Administration
Provide ongoing support to the Benefits & Data Manager in day- to-day administration of the 401(k) Plan.
Serve as the primary operational liaison with Voya Financial (recordkeeper), attending weekly meetings, following up on open items, responding to Voya inquiries, and reviewing/taking action as needed.
Partner with Voya and internal Benefits team members to develop and execute annual participant communication strategies, including drafting and distribution.
Submit corrections, adjustments, QNECs, refunds, and other 401(k)-related transactions through payroll; notify locations and participants as needed.
Draft and coordinate distribution of participant emails, mailings, annual legal notices, and targeted communications.
Schedule and coordinate in-person participant information sessions with Voya.
Assist with annual Plan audit.
Support the Senior Benefits & Retirement Plan Manager and Plan Administrator with legal and Plan rule compliance.
Monitor and update Benefits website content as needed to reflect Plan changes, including annual legal maximums, Plan design changes, legal mandates, etc.
Benefits Operations / Support
Support the Director of Benefits in planning, organizing, and executing the annual Open Enrollment process for the Health and Dental Plans.
Oversee administration of supplemental benefits (including FSA, supplemental life insurance, and vision plan) for Pastoral Center and other select locations, including enrollment changes and annual open enrollment.
Assist with ongoing data scrubs and tactical changes in process or communications as needed.
Respond to inbound calls and emails from employees and location administrators regarding benefits issues and coordinate with vendors as necessary.
Manage data-intensive projects for recurring tasks across all benefit plans and communication initiatives, using Excel, multiple databases, and other information sources.
Attend and present at meetings, some of which may require travel.
Other duties as may be assigned.
QUALIFICATIONS:
Bachelor’s degree in Business Administration, Human Resources, or related field. PHR or SPHR a plus.
Strong analytical and organizational skills.
Strong Microsoft skills, particularly in Excel and Word.
Experience with online payroll and benefit enrollment systems and/or the administration of a 401(k) Plan a plus.
2+ years of benefit plan administration and HCM experience, or equivalent experience in a multi-faceted role.
HIPAA compliance training preferred.
Ability to work well under pressure in a fast-paced environment, sometimes with shifting priorities and multiple deadlines.
Strong verbal and written communication skills.
Ability to prioritize, work efficiently, and transition from task to task while maintaining focus.
High level of attention to detail and accuracy.
Ability to troubleshoot issues.
Experience in handling and producing confidential information.
Ability to work independently.
Willingness to support the mission of the Catholic Church. The ability to work comfortably with priests and religious sisters is greatly desired.
